Pengelolaan Arsip Dinamis Aktif Di Fakultas Ekonomika Dan Bisnis Universitas Negeri Semarang

Tujuan utama dari penelitian ini adalah untuk menganalisis bagaimana pengelolaan arsip dinamis aktif dilaksanakan di Fakultas Ekonomika dan Bisnis Universitas Negeri Semarang (UNNES), sekaligus mengidentifikasi berbagai faktor yang memengaruhi keberhasilan maupun hambatan dalam proses pengelolaan arsip tersebut. Penelitian ini menggunakan metode deskriptif dengan pendekatan kualitatif sehingga mampu memberikan gambaran yang lebih mendalam mengenai kondisi di lapangan. Subjek penelitian meliputi Kepala Administrasi/Arsiparis Ahli Muda, Kasi Umum SDM dan Kerjasama, serta Penata Usaha atau Sekretaris Pimpinan yang memiliki keterlibatan langsung dalam aktivitas pengarsipan. Instrumen pengumpulan data yang digunakan terdiri dari wawancara mendalam, observasi terhadap proses pengelolaan arsip, serta dokumentasi berbagai dokumen pendukung. Data yang diperoleh kemudian dianalisis melalui tahapan reduksi data, penyajian data, dan diakhiri dengan penarikan kesimpulan serta verifikasi untuk memastikan validitas temuan. Hasil penelitian menunjukkan bahwa pengelolaan arsip dinamis aktif di Fakultas Ekonomika dan Bisnis UNNES pada dasarnya telah berjalan cukup baik. Hal ini terlihat dari adanya tahapan pengelolaan yang mencakup penciptaan arsip, penggunaan arsip, pemeliharaan arsip, hingga penyusutan arsip. Meskipun demikian, masih terdapat sejumlah faktor penghambat yang dihadapi, di antaranya keterbatasan sarana dan prasarana, kurangnya tenaga arsiparis yang memadai, serta belum meratanya pemahaman pegawai mengenai prosedur pengelolaan arsip yang benar. Temuan ini menegaskan pentingnya peningkatan kompetensi SDM dan penyediaan fasilitas pendukung agar pengelolaan arsip dinamis aktif dapat dilakukan secara optimal.

The main objective of this research is to analyze how active dynamic records are managed at the Faculty of Economics and Business, Universitas Negeri Semarang (UNNES), as well as to identify the factors that influence both the success and obstacles in the management process. This study employs a descriptive method with a qualitative approach in order to provide a more in-depth picture of the actual conditions in the field. The research subjects consist of the Head of Administration/Young Expert Archivist, the Head of General Affairs, Human Resources and Cooperation Division, and the Administrative Officer/Secretary of the Leadership, all of whom are directly involved in archival activities. The instruments used to collect data include in-depth interviews, direct observation of archival management processes, and documentation of supporting records. The collected data were analyzed through several stages, namely data reduction, data presentation, and drawing conclusions followed by verification to ensure the validity of the findings. The results of the study indicate that the management of active dynamic records at the Faculty of Economics and Business UNNES has generally been carried out properly. This can be seen in the existence of management stages that cover record creation, record utilization, record maintenance, and record disposition. Nevertheless, there are still some inhibiting factors, such as limited facilities and infrastructure, insufficient numbers of qualified archivists, and the fact that not all staff fully understand the proper procedures of record management. These findings highlight the need to strengthen human resource competencies and provide adequate facilities to ensure that active dynamic records management can be implemented optimally.
