Digital Archiving & Preservation Policy
Digital Archiving & Preservation Policy
A framework for safeguarding published articles, metadata, and the scholarly record through journal archiving, OJS preservation interfaces, and continuity procedures.
Preservation Policy
Reflection Journal, published by Lembaga Penelitian dan Pemberdayaan Masyarakat (LITPAM), recognizes the importance of preserving the scholarly record beyond the immediate publication and hosting of journal articles.
The journal adopts a digital archiving framework intended to support the continued availability, integrity, discoverability, and recovery of its published content and accompanying bibliographic information.
Digital preservation activities include maintaining the journal's published records in Open Journal Systems (OJS), enabling appropriate preservation interfaces where applicable, and documenting arrangements for safeguarding and restoring the platform's files and data.
Published Records Covered
The journal's preservation framework covers the scholarly materials and publication records held within the journal platform, including, where applicable:
- Published article files and the final version of record (such as PDFs).
- Bibliographic information, including titles, author information, abstracts, keywords, publication dates, and DOI identifiers.
- Volume and issue information, article landing pages, copyright statements, and license information.
- Supplementary materials made available with published articles, where supported by the relevant preservation method.
The scope of an external archive may differ from the records held by OJS. Inclusion of a specific file or issue in an external preservation service must be confirmed through that service or its deposit reports.
LOCKSS and CLOCKSS
LOCKSS (Lots of Copies Keep Stuff Safe) provides distributed digital preservation technology used by participating libraries and preservation networks to maintain copies of scholarly content and support continued access under the terms of the applicable network.
CLOCKSS (Controlled LOCKSS) operates an independent, community-governed preservation archive. Content accepted into CLOCKSS is maintained in a distributed archive and may be made openly available when an official trigger event is declared under CLOCKSS procedures.
Reflection Journal identifies the OJS gateway addresses below for these preservation frameworks. Availability of a manifest is not, by itself, confirmation of membership, successful harvesting, or completed deposit in either preservation network.
OJS Publisher Manifests
OJS can provide publisher manifests that identify published issues and expose the permissions and information required for compatible preservation workflows when the corresponding archiving options are enabled.

Open CLOCKSS Gateway ↗These are machine-oriented OJS gateway URLs. Their publication does not imply that Reflection Journal is already enrolled in either preservation network or that every article is stored in those networks. Preservation participation and deposit status require independent verification.
Backup and Recovery
LITPAM, as the publisher, is responsible for establishing and maintaining appropriate arrangements to protect the journal's digital publishing records from accidental loss, technical failure, or unauthorized alteration.
The operational backup and recovery procedure should cover the OJS database, journal file storage, published article files, and the configuration information required to restore the publishing platform. Backup copies should be protected from unauthorized access and supported by periodic recovery checks.
Backup frequency, storage locations, retention periods, and restoration testing are maintained as internal technical records and should be confirmed with the platform administrator. This policy does not claim a specific backup schedule or successful restoration test without supporting documentation.
Continuity of Access
If the journal website becomes temporarily unavailable, the publisher should coordinate service restoration using available platform backups and recovery procedures. If the publishing platform is permanently discontinued, the publisher should seek to maintain access to the scholarly record through the available archive copies and applicable preservation arrangements.
Access to copies preserved by external services is governed by each service's agreements and release procedures. In particular, CLOCKSS content is made openly available through its archive when the service declares an eligible trigger event.
The journal will make reasonable efforts to preserve stable article identification, citation information, and licensing notices when arranging continued access to published content.
Responsibility and Periodic Review
The publisher is responsible for the technical continuity of the journal platform, while the Editorial Team is responsible for identifying corrections to published records and communicating content-related preservation needs.
The journal should periodically review the OJS archiving settings, confirm whether each publisher manifest is accessible and lists the intended issues, and retain evidence of any active preservation agreement or completed deposit. The policy may be revised when the journal adopts or changes a preservation service.
Questions regarding access to archived content or reported problems with published records may be submitted through the journal contact page.
